The case

Challenge, solution, result

  1. Challenge

HRP carried out a complete replacement of its ERP system. Its business-critical B2B online store had to follow the new data structure, reliably handling a larger product range, more complex pricing logic and the ERP’s automations, faster than before.

  2. Solution

We built a new Magento-based B2B platform with API-based, two-way ERP integration. Partner onboarding, pricing, stock information and service processes run directly on ERP data, and custom B2B modules support the daily work of professional buyers.

  3. Result

The online store has become a central part of HRP’s digital operations. Manual administration is down, partners are served faster, pricing and stock data are up to date, and the system has run reliably since launch.

HRP Europe has been a distributor in the Hungarian IT market for more than three decades. It serves more than 4,000 active reseller partners, with a 5,000 m² warehouse and a team of 130.

Its portfolio ranges from desktops and components through networking, IT security, servers and software licences to drones and green energy solutions. Its vendor partners include Dell, Microsoft, Epson, Fortinet and Samsung. Between 2019 and 2024, its revenue grew from HUF 38 billion to nearly HUF 60 billion.

For a distributor of this size, the online store is part of everyday operations. Resellers check their own prices and current stock there, place their orders and start warranty cases. Any gap between the online store and the back-office system directly affects both the partner relationship and day-to-day sales.

Starting point

A working system, rising expectations

The ERP replacement changed the data the online store relied on. HRP moved to more detailed product data, automated contract processes and more complex pricing logic. To keep pace, the online store had to be ready to:

  1. handle a larger product range and a more complex data structure,
  2. take over partner-specific prices and discounts under the new, more complex pricing logic,
  3. carry existing automations, such as partner onboarding, over to the new ERP,
  4. run faster: the previous online store queried the ERP on every request, which slowed the interface down.

The ERP replacement was also the right moment to rethink the technical foundations of the online store. We designed a platform that makes full use of the new ERP’s data structure and automation, remains sustainable in the long term, and replaces manual administration with automated processes.

ERP integration

ERP integration at process level

The core of the platform is an API-based, two-way connection to the ERP. The two systems synchronise continuously, so the online store always reflects HRP’s current business position.

Automated partner onboarding

Automated partner onboarding carried over to the new ERP. When registration is complete, the system creates the partner in the ERP and automatically returns the contract data generated there to the online store, so new resellers can start ordering without anyone entering data by hand.

Instant price and stock sync

The ERP passes every price, discount and stock change to the online store immediately, and the store keeps this data locally in Magento. Page loads never have to wait for the ERP: the interface stays fast, while partner-specific prices, discount levels and stock levels remain up to date. In a B2B environment, where individual orders carry significant value, accurate prices and stock are the basis of the partner’s decision.

For a distributor, the online store has to show the same business reality the company operates in. That takes process-level cooperation with the ERP, and a simple data transfer falls short.

B2B features

B2B features for buyers’ daily work

Building on Magento’s flexibility, we developed custom modules that follow the way professional buyers actually work.

Multiple carts and bulk ordering

Partners can manage several carts at once, separated by project or by customer. Bulk product upload and quick ordering significantly shorten high-volume purchasing.

Hierarchical permissions

Several users within a partner company can work with different permission levels, so everyone has access to the functions their role requires. This matches the internal division of work at larger resellers.

Online RMA and service

Returns and service cases are linked directly to the ERP. Partners track the status of warranty cases on the platform, without separate email exchanges.

Serial number search and licence management

The system supports search by serial number and manages software licences, which is essential for accurate identification of technical products.

Beyond these, we delivered a range of further features supporting B2B processes, each aligned with the corresponding ERP functionality.

User experience

User experience at scale

In designing the front end, our aim was to keep the interface clean and fast despite the complexity behind it. Navigation, search and the ordering process were optimised specifically for a large product range.

Responsive behaviour was an operational requirement. The online store has to work equally reliably in the warehouse, in the office and on the road. The interface is built on an internationally recognised UI kit, so new features draw on proven components, which makes development faster and more predictable.

The result

A central part of HRP’s digital operations

The new hrp.hu is a central part of HRP’s digital operations. In the almost twelve months since launch, the system has run reliably, and the rare issues that arise are fixed quickly by our support team. For HRP, this has meant:

  • faster partner service and faster onboarding,
  • less manual administration,
  • up-to-date pricing, stock and contract data on a faster interface,
  • a scalable technical foundation for further growth.

The project shows that a B2B online store is most effective when it is built as an integral part of the business processes. Our work continues after launch: as online sales, analytics and the ERP evolve, the W5labs support team keeps developing the platform.

Write to us or call us, and we will answer your question.

  • A Magento-based platform extended with custom B2B modules, communicating with HRP’s ERP system in real time and in both directions through an API.

  • The ERP passes every price, discount and stock change to the online store immediately, and the store keeps this data locally, so the interface is fast and the data stays up to date. Registering a new partner automatically creates them in the ERP, and the contract data is returned to the online store.
